YOU CAN BE PRODUCTIVE IN 10
MINUTES
|
| Use The Time You Have
Do you complain that you don't have enough
time? Instead of waiting until you have an hour of free time, take
advantage of those smalls bits of time to whittle away at your to-do
list.
Spending just 10 minutes everyday adds up to 70 minutes a
week and over 60 hours in a year. Now you can get some real things
accomplished in 60 hours, can't you?
Here are a few quick tasks
to get you started. You can also breakdown larger responsibilities into
smaller chucks to use those 10 minute slots.
Sort and open your mail. Junk mail
goes straight in the trash. Clip bills and return envelopes together and
place in your to-do folder. Add any invitations or events to your
calendar.
Return a phone call
or two. Have handy any needed materials to refer to and know what you
are going to say to keep the call brief.
Review your schedule for tomorrow.
Prioritize the things you need to accomplish so you can start the work
day prepared.
Make a dent in
your filing. You don't have to complete the task but every paper
you add to a folder is one less piling up on your desk.
Clean out the inside of your car. Use
one bag for trash and one bag for all the items that should be brought
inside. |

| Trophies and Awards
Question:
What should I do with award certificates,
trophies and plaques? My family keeps getting more and more.
Pierrette:
We all should acknowledge and
celebrate our accomplishments. That being said trophies and awards can lose their meaning
as time passes.
Those that represent true achievement should be displayed. As an example many
people have framed diplomas hanging on their office wall.
You don't need to keep everything. If
it is something you want to display and you get satisfaction from
looking at it then keep it, otherwise, it can go.
If letting go
is difficult, you can scan certificates
to keep digital copies and photograph
plaques or trophies with the recipient holding it.
Trophies and plaques can be donated. They
can be re-engraved for charities who could not afford new ones. Giving
them to a good cause may make it easier to let go of them.

Make the Information You Collect Useful
Have you collected enough business cards to
cover one wall of your office? Most everyone acquires them - they are a
necessary tool. The problem is finding the one you need when you need
it.
There are a few ways to better organize the ones you save.
First be selective which ones you keep.
If you were just being polite in accepting the card and will not need
to remember that person's name or contact them in the future then it's
okay to add it to the recycle bin.
Those you are keeping need to
be sorted and stored in a way that makes it easy to retrieve the information when you need it.
There
are binders with plastic sleeves
to hold the cards. You can file them in alphabetical order by the
person's name or business name. Use a system that is useful to help you
remember. You could also store them by the type of business or service.
Create an electronic database with a
program like Outlook for Windows or Address Book for the Mac. Type their information andinclude a
note about where you met or why you saved the card. It will be easy to
search when have a need.
There are even handy business card readers or scanners that
quickly take a digital image of the card and convert the text to usable
information using OCR technology. If you have a back log and just don't
have the time, consider a scanning
service or using a virtual assistant.
The important part
is having quick and easy access
and staying on top of entering the
information. Having a drawer full of business cards defeats the
purpose of collecting them in the first place.
