Pierrette
Ashcroft, founder of getOrganizedDC, has more than 20 years of business

ARCHIVE YOUR FILES MONTH
|

Making Room for the New
Everyone
has lots of paper and some even have a filing system. Few probably go
through their files to remove the old and make room for the new but
they should.
February is archive your files month. It is a great time to examine your filing system and remove documents and files that are no longer needed.
You need three different types of files. Each has a unique function and therefore different requirements.
Your working files
are the ones you use on a regular basis - they need to be accessible
and stored close to your work station. Only the current year's records
belong in this section. Remove anything that is not current. Shred or
recycle records that are no longer needed.
Separate out previous years' documents,
records and files. These are rarely referred to files and they should
be archived. If your file drawer space is limited, they can be stored
in banker's boxes or plastic file boxes and placed on a high shelf or
in a dry basement.
General guidelines for keeping personal
records say tax-related records for average taxpayers should be kept
for 3 years. Those with more complicated returns like the self-employed
need to keep records for 6 years. Always check with your tax or legal
advisor before destroying documents.
Vital records
like birth and death certificates, wills and deeds to your home should
be kept permanently and stored together in a fire-safe container that
can be grabbed quickly in an emergency.
Purging unneeded files on an annual basis alleviates the need to keep expanding your filing system and adding storage space.

Completing the Task
Question:
I started organizing but haven't finished. Now I have piles everywhere and am feeling discouraged. What should I do?
Pierrette:
The
best way to start a project is to have a final goal in mind. Work
backward from that end point to outline your action plan. Break the
project into small manageable steps and set a completion date for each
action.
Your plan should include identifying and removing
things that don't belong, grouping like items together and then
creating storage or containers for everything.
That way if you
stop at any point or feel stuck you can refer back to your plan and you
will know what needs to be done and where to pick up and get started
again.
